Overview
Some of the functions in KitKeeper are triggered when the staff tracks a kit. Other functions are triggered by the date. These date triggered functions take place in the early hours of the morning when KitKeeper goes through the kit use records, looking for things that need to be done. All actions that are taken as part of this process are reported in the "KitKeeper Nightly News".
Kit Launching
The first thing KitKeeper does in the nighly routine is to look for kit use records that are marked as "FUTURE" that need to begin their journeys. Based on the pickup date in the record, KitKeeper works backward to determine when staff needs to pull the kit, check it and ship it to the pickup location. If it's time for that to happen, the status of kit use record is changed from "FUTURE" to "PREPARE". Once that is done, the kit use will show up in the staff views of current records. This is automatic.
Overdue Actions
The next activity in the nightly routine is to check for records that are overdue at any step of the journey. This is done by checking the target completion date against the current date for each of the states in the kit's route. If the target date of a step has past, an email is sent to the appropriate address notifying them of the problem. Overdue notices can go to staff or patrons.
Administrative Preview
Administrative staff have the option of viewing the expected results of the nightly activity before it actually takes place. There are links which will display several variations on the list of kits to be launched and the list of overdue emails to be sent.
This feature is primarily useful when an oganization is getting started or when Plymouth Rocket has made changes to the functionality of KitKeeper. In those cases, it is nice to be able to see what's going to happen and make adjustments, if necessary, before emails are sent to patrons or outlying staff.
